Improved collaboration: Storyblok launches Multiple Workflows

Storyblok is the first headless CMS that works for developers & marketers alike.

We are pleased to introduce our latest feature: Multiple workflows that make it easier for teams to create complex content experiences in their own way.

Companies with multiple teams, divisions, and content-heavy routines are challenged to create varying content types such as blogs, eCommerce materials, case studies, etc. To accommodate this, different teams often cater to these distinct content categories with their unique publishing workflow.

For instance, a team that writes blogs may prioritize frequent publication schedules and engage in more informal collaboration, while a research team might prioritize rigorous peer review processes and require more structured workflows.

With Multiple Workflows, users (be that content managers, marketers, designers, or project managers) have greater control, customization, collaboration, and efficiency in managing their content, ultimately leading to improved productivity and a better content management experience.

While many Storyblok users take advantage of our Custom Workflows feature, Multiple Workflows expands the possibilities even further. Here is how multiple workflows can enhance your everyday work with a CMS:

Users can now create unique workflows for each content type, ensuring efficiency and alignment with specific requirements. That means that from now on, it's possible to establish distinctive processes and approval steps for each content type. For example, a new blog post must be proofread, edited, and published by the content team. At the same time, a global newsletter needs to be localized by the PR team before it can be issued across several markets.

Multiple workflows allow teams to work collaboratively and in parallel, each following its own designated workflow. This promotes smoother collaboration and reduces bottlenecks that may arise from a single, rigid workflow. Now, each team can be more independent and agile as some steps can be reduced, or, vice versa, and new levels of approval can be added to the most crucial content types.

Multiple workflows offer more robust control and governance options, allowing administrators to align content management with organizational policies and ensure compliance.

Sometimes, you might need more strict control over particular processes. You can now allow administrators to define granular permissions and access controls for each workflow, ensuring that the right people have the necessary authorization for review, editing, and publishing.

Adapt approval processes to fit the needs of each content type, streamlining review cycles and accelerating content delivery. For instance, blog posts may only need a single reviewer, while important landing pages might require a series of approvals from various stakeholders.

Users can create or modify new workflows to accommodate changing requirements, ensuring the content management system remains flexible and aligned with the organization's needs.

Adding new custom workflows is easy! Within the workflows section in the settings, you can just add a new workflow. Simply define the new workflow's name, the content type it is applied to, and the workflow stages that should be included. For more information, have a look at our workflow resources.

Creating custom workflow stages and adding multiple workflows is available for both the Teams and Enterprise plans, and this can be added is as follows:

  • Teams: 5 workflow stages, one custom workflow
  • Enterprise: Unlimited workflow stages, 5 custom workflows
  • Enterprise Plus: unlimited workflow stages, unlimited custom workflows
